1. Overview

This Privacy Policy explains how PropFirmer (“we”, “our”) collects, uses, shares, and protects information when you visit our website or use our service (the “Service”). By using the Service, you agree to the practices described here.

We treat your portfolio data as yours. We do not sell personal information, and we only share data with the service providers required to run the Service.

2. Information We Collect

Account information. When you register, we collect your name and email address, and we store your password only as a salted, hashed value. We never store your password in plain text.

Portfolio data. We store the trading data you enter: prop firms, accounts, account sizes, statuses, fees, transactions, payouts, performance snapshots, and any notes you add.

Documents and uploads. Files you upload (statements, payout certificates, screenshots, documents, and profile images) are stored securely in our encrypted cloud object storage. We store only metadata, such as file names, in our database.

Billing information. Paid subscriptions are processed by our secure third-party payment processor. We do not receive or store your full card number; our payment processor handles and stores payment details on its own infrastructure.

Newsletter subscriptions. If you subscribe to our newsletter, we keep your email address in our subscriber list and do not use it for anything other than the newsletter.

Technical and usage data. We automatically collect limited technical information needed to operate and secure the Service, including IP addresses (used for rate limiting and security), browser and device details, and pages visited.

3. How We Use Information

We use the information we collect to: provide and maintain the Service; process subscriptions and manage your billing; send transactional emails such as account verification and password reset links; protect the Service and our users through rate limiting and bot protection; improve our product through aggregated analytics; respond to support requests; and comply with legal obligations.

We do not use your portfolio data to market to you, and we never sell it.

4. Cookies and Tracking

We use a single essential cookie for authentication: a signed, httpOnly session cookie that expires after seven days. It is required to keep you logged in and is not used for advertising.

We use our third-party analytics service to understand aggregate usage of the Service. It may place cookies or local storage and collects usage events that do not include your portfolio contents.

5. How We Share Information

We share information only with the trusted providers that power the Service, and only to the extent needed to provide it:

The categories of providers we engage, each only to the extent needed to run the Service, are: infrastructure and database hosting providers—to store your account and portfolio data; cloud object storage providers—to securely store your uploaded files; bot-protection providers—to prevent automated abuse of our sign-up and contact forms; payment processors—to handle subscription billing for paid plans; email delivery providers—to send transactional emails such as verification, password-reset, and invoice messages; analytics providers—to understand how the Service is used; and email marketing providers—to manage and send our newsletter.

We may disclose information if required by law, legal process, or enforceable government request, or to protect our rights, your safety, or the safety of others.

6. Data Retention

We keep your account and portfolio data for as long as your account is active. If you close your account, we delete your personal and portfolio data and your uploaded files within a reasonable period, unless we are required to retain certain records (for example, billing records) by law.

Newsletter emails are kept until you unsubscribe or we remove the list. Analytics are retained in aggregated form.

7. Security

We use industry-standard measures to protect your data: HTTPS encryption in transit, encryption at rest for stored files, passwords stored only as salted hashes, httpOnly session cookies, and strict access controls on our providers’ accounts.

No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.

8. Your Rights and Choices

You can access, correct, and update your account and portfolio data at any time from within the Service.

You can export your data where the Service provides export functionality (such as CSV export on paid plans), and you can close your account and request deletion of your data at any time by contacting us at hello@propfirmer.com.

You may unsubscribe from the newsletter at any time using the link in any newsletter email or by contacting us.

Depending on your jurisdiction, you may also have rights to access, correct, delete, or obtain a copy of your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at hello@propfirmer.com.

9. Children

The Service is intended for users who are at least 18 years old (or the age of legal majority in their jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

10. International Data Transfers

Our infrastructure and provider services operate in multiple regions (including the United States and the European Union). Your information may be processed in a country other than your own. Where we transfer data across borders, we rely on appropriate safeguards and data-processing agreements with our providers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or an in-app notice before they take effect. The latest revision date is always shown at the top of this page.
